Compliance & Operations Assistant

Purpose of the role

To assist with the Company’s compliance, governance, health & safety, HR administration, facilities management, environmental management systems, and business support functions. This role ensures that Ciceley Commercials Ltd operates in accordance with all applicable legal, regulatory, contractual and Mercedes-Benz standards, whilst promoting continuous improvement and operational excellence throughout the business.

Compliance & Governance

• Maintain and develop company policies, procedures and compliance controls.
• Ensure compliance with all applicable legislation and industry requirements.
• Manage compliance platforms and monitoring systems.
• Assist with the coordination of internal and external audits.
• Maintain company insurance programmes and associated records.

Quality & Environmental Management

• Assist with the maintenance and improve the Company’s ISO 9001 Quality Management System.
• Assist with the maintenance and improve the Company’s ISO 14001 Environmental Management System.
• Coordinate compliance reporting.
• Investigate non-conformances and implement corrective actions.
• Ensure adherence to Mercedes-Benz operational standards and requirements.

Human Resources

• Assist with recruitment and onboarding processes
• Maintain & cleanse time & attendance system
• Support disciplinary, grievance and performance management processes
• Coordinate apprenticeships, employee development and training initiatives
• Ensure all statutory employment documentation is maintained
• Oversee welfare benefit administration and employee support programmes.

Health, Safety & Wellbeing

• Assist with implementation of company Health & Safety systems and policies
• Coordinate DSE workstation assessments
• Ensure first aid arrangements remain compliant
• Ensure compliance with fire safety inspections, fire alarm testing and fire drills
• Monitor Working Time Directive compliance

Facilities Management

• Assist with coordination and compliance with statutory inspections of plant and equipment.
• Assist with management of cleaning contracts and facility audits.
• Assist with management of maintenance & security contracts.

Fleet & Operational Compliance

• Manage vehicle insurance records and compliance requirements.
• Administer fleet management systems.
• Maintain driver licence checking procedures
• Support accident investigation and corrective action processes.
• Conduct monthly vehicle tracker system reviews.
• Support overnight accommodation and operational travel arrangements.

Training & Development

• Assist with implementation of business training requirements.
• Coordinate statutory, compliance and mandatory training programmes.
• Maintain employee training records.
• Support leadership and development initiatives.

• Excellent organisational and administrative skills.
• Strong written and verbal communication skills.
• Proficient in Microsoft Office applications and business systems.

• Previous experience in a Compliance, HR, or H&S role.
• Experience within the automotive, commercial vehicle or dealership sector.
• Knowledge of ISO 9001 and ISO 14001 management systems.
• Experience managing compliance systems and audits.
• NEBOSH or IOSH certification
